What invoice reconciliation software should actually do

Reconciling means proving that every invoice you issued or received corresponds to real money moving through your bank account. Most tools only manage one side: invoicing apps track documents, banking apps track transactions, and the matching between them happens in a spreadsheet.

How the matching works

  1. 1. Bring in your invoices

    Upload PDFs and images (PNG, JPG) or XML e-invoices, or forward them to your workspace’s dedicated inbound email address. AI extraction fills in amounts, dates, parties, line items, and taxes — you review and correct instead of retyping.

  2. 2. Import bank statements

    CSV, PDF, and MT940 (SWIFT) statement files are parsed into line-level activity. Duplicate lines across overlapping uploads are detected and skipped automatically, so re-uploading a statement never double-counts.

  3. 3. Auto-match with a confidence score

    Each bank line is compared against your open invoices by amount, date, reference, and party. High-confidence pairs are matched automatically; anything less certain lands in pending review for a human decision. You can also search and match any line manually.

  4. 4. Watch the progress, not the spreadsheet

    The dashboard shows total income and outcome, outstanding receivables and payables, overdue alerts, and a matching progress bar — filterable by date range and currency.

Every line has an explicit state

Audits fail on ambiguity. In InvoiceHive, a bank statement line is always in exactly one of five states, and every transition is recorded:

Matched

The system paired a bank line to an invoice with high confidence.

Pending review

A probable match was found, but a person confirms it before it counts.

Reviewed

Confirmed by your team — reconciled and closed.

Unmatched

No invoice found yet; search and link one manually, or leave it visible.

Ignored

Bank fees, internal transfers — excluded from reconciliation on purpose.

Anomaly detection runs while you reconcile

Reconciliation is where fraud and errors surface — if someone is looking.
